Operations Specialist Position Description

Position Summary:  The Operations Specialist upholds and advances the organization’s commitment to diversity, equity, and inclusion; supporting the organization’s staff, Board of Directors, team of consultants, and a network of relationships among leaders throughout Oregon.  The Operations Specialist manages a range of administrative functions to maintain the organization’s operations, while also providing logistical support for ALFO’s Fellows program.  Additionally, the Operations Specialist assists with website maintenance. The Operations Specialist will work in partnership with the ALFO Executive Director and the Program Manager to manage the Senior Fellow Network, donor database, and bulk messaging system. This is a 32-hour per week position, with paid benefits.

Essential Functions

Operations:

  • Plan logistics for monthly ALF class meetings, Board of Directors meetings, Urban Rural Connection Project, and annual Reunion/Graduation fundraising event
  • Manage accounts receivable and payable through a web-based interface with an independent accounting firm
    • Maintain financial records; including payroll reporting and the submission of employee time sheets
  • Organize and maintain office files both electronic and hard copy
  • Support the Board of Directors (primarily calendaring and note taking)
  • Identify data management platform
    • Implement and maintain incoming Fellows Data
    • Transition Fellows to Senior status within the ALF Fellow Network

Systems Management:      

  • Manage the organizations web-page; update and edit content on a consistent rotation
  • Prepare constant contact data list for ALF quarterly E-newsletter and announcements
  • Upload social media content
  • Prepare large mailings as needed throughout the year
  • Navigate general office correspondence, distributing as appropriate
  • Donor tracking and correspondence within Greater Giving Database

Required Skills

  • Strong organizational skills, attention to detail, and conscientious follow-through
  • Strong computer skills (MAC and PC)
    • Word, Excel, Google Docs, Google Drive, Google Calendar, and PC database products
  • Experience with general financial management; bookkeeping, bill pay and invoicing
  • Pleasant phone manner and ability to be resourceful under pressure

Desired Skill

  • Ability to navigate complex communications through a Diversity, Equity and Inclusion lens.
  • Conflict resolution with a customer service orientation

Qualifications

  • Bachelor’s degree or equivalent experience
  • Experience working with diverse populations
  • Excellent time management and process development skills
  • Willingness to learn about the ALF Culture and Oregon Network
  • Commitment to statewide Diversity, Equity and Inclusion

Working Conditions and Environment

  • Includes some evening and weekend hours based on program and event schedule
  • Frequent Statewide travel for ALFO Fellows programming, Urban Rural Connection Project and Senior Fellow programming
  • Occasional participation in ALFO Fellows programming sessions
  • All staff participate in one to two Community Building Week sessions; each approximately 6-days long, overnight, outside the Portland Metro, between the months of July and August annually

Physical Demand

  • Ability to occasionally lift up to 30 lbs
  • Valid Oregon Driver’s License and regular access to a vehicle for local travel with the ability to utilize a rental vehicle when provided for travel around the state

Salary and Benefits

            Salary range of $17.00 - $19.00 per hour (Dependent on qualifications.)
